Different company practice different method. For Secretlab, we choose to be as simple as we can. For example, how to name and class your projects by alphabetical or numerical order.

 

Previous method:

 

Back in 2002, we combine a few things to get the project name. The class are divided to :

 

Client + service + the frequency we serve the client + the project number (total current project + this project)

 

So for client JAKIM, if we serve WEBSITE, then it’s the 4th time, and the number of current project are 44, the name of the projects for quotation, invoice, documentation etc is:

 

JKM/W/04.45

Second example, for UBM, we propose SYSTEM, for the 1st time and the current is 35 projects,

 

UBM/S/01.35 

 

We’ve been practicing this method for almost 4 years and finally one day in the year 2005, I found that it’s wasting my time to implement this kind of numbering system.

 

I need to rename the folder, the documentation etc, the bla bla and bla bla. Sometime I lost count when it comes to proposal especially when the proposal is rejected. Sometimes I need to check what is this project and also I dunno how many project is in the running.

 

SO, I finally decide, we use 3 digit number, started with 500.

 

So project A, doing web is 500. Next project, doing montage is 501. Next project after that, proposal doing cdrom is 502. Reject? Ok, so 502 is listed under Rejected Projects. And so the number is increasing until today……

 

Here are some of the project folders in our secretserver. So start of that day, everybody in Secretlab has to memorize specific number for specific project. The good things is, you just need to memorize only one thing for one thing. 

 

The bad things is, you always need a reference list. It’s not bad at all because you always need to refer the list as the list is the backbone of your company projects.
